Kadence Privacy Notice

This Privacy Notice explains how Haun Lab LLC ("Haun Lab", "we") handles personal data in connection with Kadence. Kadence is a business tool for insurance producers.
1. Our two roles
- Controller (account data). For the personal data of our customers and their users (names, email addresses, login and billing information, usage), we act as a controller and process it to provide and operate Kadence.
- Processor (prospect data). For the personal data that a customer assembles or uploads about prospects and decision-makers, we act as a processor on the customer's behalf and under the customer's instructions. The customer is the controller of that data. Our Data Processing Addendum governs this processing.
2. Personal data we handle
- Account and contact data: name, work email, organization, role, authentication data.
- Billing data: processed by our payment processor; we store limited subscription metadata, not full card numbers.
- Usage data: log, device, and product-usage information used to operate, secure, and improve the service.
- Prospect data (as processor): business contact and firmographic information about companies and decision-makers, drawn from public government datasets, your enrichment providers, and your own inputs. This may include names, business email addresses, phone numbers, titles, and related business information.
3. How we use account data
To provide, secure, support, and improve Kadence; to process payments; to communicate about the service; to enforce our Terms and Acceptable Use Policy; and to comply with law. We do not sell personal data.
4. Sub-processors
We use vetted third parties to run Kadence (for example, hosting, database, email delivery, and AI providers). The current list is at the Sub-processors page. We require sub-processors to protect data consistent with this Notice and our Data Processing Addendum.
5. Sharing
We share personal data with sub-processors as needed to run the service, with our payment processor for billing, and where required by law or to protect rights and safety. For prospect data we process as a processor, we act on the customer's instructions.
6. Retention
We keep account data for as long as your account is active and as needed for legitimate business and legal purposes. Prospect data is retained per the customer's configuration and instructions and deleted on account closure or request as described below and in the Data Processing Addendum.
7. Security
We use technical and organizational measures appropriate to the risk, including encryption in transit, encryption at rest for sensitive credentials, workspace-level data isolation, access controls, and audit logging. No method of transmission or storage is perfectly secure.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export personal data, and to object to or restrict certain processing. Account holders can request these by contacting taylor@haunlab.com. For prospect data we process on a customer's behalf, we will route requests to the relevant customer (the controller) or assist them in responding. A decision-maker who wishes to be removed from a customer's outreach can use the unsubscribe link in any email or contact us and we will route the request.
9. International data
We operate in the United States and store data with U.S.-based providers. If you access Kadence from outside the United States, you understand your data will be processed in the United States.
10. Children
Kadence is not directed to children and is intended for business use only.
11. Changes
We may update this Notice. Material changes will be communicated in-app or by email.
